Speaking of Super Bowls and Super Bowl commercials: Grass Shack Events & Media has produced the American Securitzation Forum conference for several years. This particular year fell on the week of the Super Bowl, in which we also produced a party for 1200 attendees. Ourcreative team flipped the general session ballroom to create an interactive super bowl party. Utilizing the five general session screens we played the Superbowl game, we changed the stage colors to match whatever team currently had control of the ball.  One of the creative elements we offered for the main sponsor VantageScore was to insert their VantageScore commercials in place of the real commercials. Our production team made the switch at the appropriate time convincing the audience that VantageScore had bought several SUPER BOWL commercials.

In Brief

Grass Shack coordinated and managed a high-powered sequence of employee and customer events for the worldwide launch of Siemens Medical Solutions’ new product in the San Francisco Bay Area.

Challenge

Siemens Medical Solutions CT division, headquartered in Germany, was launching a new product worldwide. For its Bay Area debut, Siemens decided to showcase the product at Stanford’s annual Radiology Symposium in San Francisco. For maximum impact, Siemens wanted ahigh-powered build up to the Symposium consisting of:

  • a series of meetings to inform, motivate and provide a forum for product feedback for internal sales staff
  • a briefing with top clients
  • a high profile event presenting the product to press and public

Siemens selected Grass Shack to manage the entire chain of events.

Grass Shack Solution

Working closely with Siemens Germany, Grass Shack made recommendations on local venues and handled negotiations for bookings. Grass Shack coordinated all logistical aspects of the events which ran as follows:

  • Sales meetings – Grass Shack coordinated five separate meetings in different locations with varying numbers of guests, including audio visual, meals and entertainment. One sales meeting was held on a Hornblower yacht in San Francisco Bay. Grass Shack arranged to have participants picked up in cable cars and taken on a mini-tour of the city before depositing them at the yacht. Following the day’s meetings, the guests were ferried to Sausalito for dinner and entertainment. Afterwards guests were bussed back to San Francisco across the Golden Gate bridge energized for the week ahead.
  • Top client briefing – Grass Shack arranged a business presentation at the top of the Westin St. Francis hotel in the prestigious Alexandra room for 30 of Siemens’ top clients and then had guests whisked to the prestigious Farallon restaurant to a private room for an elegant dinner.
  • Stanford Radiology Symposium Tradeshow – Grass Shack stepped in at the last minute to create a booth for Siemens. Working together, Siemens and Grass Shack developed an attention-grabbing display which featured an x-ray tube with blinking invitations to Siemens’ launch bash. The booth attracted lots of attention amongst participants, one of whom was heard to say “I can’t wait to see the launch event!”
  • Launch bash – Grass Shack developed a theme and designed a logo in cooperation with Siemens for a “Night of Bright Light.” The evening started with a grand reception in the Rotunda at San Francisco’s Palace of Fine Arts followed by a premiere event at the Exploratorium: the museum of science, art and human perception. Grass Shack managed lighting and audio visual support for speeches given by the President of Siemens Medical Solutions and the head of the Stanford Radiology Symposium. Some 400 guests strolled along a type of “science walk” which highlighted the new product and its capabilities through plasma screens and kiosks. This gave Siemens’ Sales Executives the opportunity to interact easily with attendees and to answer questions on the spot. The centerpiece of the event was an exact replica ice sculpture of the launch product, the Somatom Sensation 64. Entertainment was plentiful with live musical performances on one stage and a performance by former Cirque de Soleil acrobats and contortionists on another. As guests left, they were given information packets and a leather notebook embossed with the “Night of Bright Light” logo. Grass Shack produced a video DVD of the event which was sent to all attendees as a souvenir and marketing follow up for the evening.

Results

All of the events ran smoothly and to schedule. Feedback from the event was fantastic and Grass Shack was hired for another prominent Siemens event. “Grass Shack did a great job planning and managing Siemens Medical Solutions’ product launch event and sales meetings. Hewlett-Packard Meeting Event Facillitation Services

Challenge
Hewlett Packard (HP) was holding a meeting with 17 different partners of its Micro-Enterprise Development Program. The objectives of the meeting were to establish a shared vision among all partners, create a learning community and set expectations. HP was looking for a vendor that could help communicate the messages and provide a forum for discussion. HP’s key priority was ensuring that the messages were retained by participants.

Solution
To provide the most memorable and engaging presentation possible, Grass Shack suggested a departure from traditional PowerPoint slides. Instead, Grass Shack proposed having a live graphic recorder draw the meeting’s main messages. Participants were able to visually follow the thought process leading to the meeting’s conclusions and had a graphic record as a take away. The images were also appealing enough to be posted in common congregation points such as hallways to encourage discussion and aid in message retention long after the meeting had concluded.

Results
“Having a graphic recorder at our HP meeting added so much. The artwork captured, so creatively, the essence of what was discussed and shared. Hawaii Dept of Health

In Brief

Since 2005 Grass Shack Events Media has produced The Hawaii Department of Health’s meetings.  It all started when Grass Shack was called in after the Hawaii Department of Health invited representatives from key agencies together to discuss the threat of a human influenza pandemic due to the global spread of avian flu. The wanted to review basic influenza and pandemic facts; discuss potential impacts upon each individual agency; establish central lines of communication and develop tailored educational curriculum and action plans for the different organizations being represented.

Challenge
The Department of Health hired Grass Shack to produce important this large event with very short notice.

Grass Shack Solution
Grass Shack jumped into action. A preliminary invitation was designed and sent out to all attendees. An online registration form was created to assist attendees in registering for the meetings as well as for the workshops. The workshops were placed into rooms that would accommodate the growing number of attendees. Grass Shack handled all reservations along with production for the main general session.

Results
The attendees remarked that they took much more away from the meetings than they had anticipated. The Department Of Health was very pleased with the way Grass Shack was able to coordinate the event on such short notice.

Montclair Village Association Event & Entertainment Management for Jazz & Wine Festival

Challenge
The Montclair Village Association was planning its second annual Jazz and Wine Festival for an anticipated 5,000 participants. It needed a partner that could coordinate, handle all logistics, book and manage entertainment for the event.

Grass Shack Solution
Grass Shack was awarded the Festival just three months before it was scheduled to occur, which meant that all activities had to be coordinated simultaneously. To appeal to the upscale demographic of the Montclair area (the surrounding median household income is $177,000), Grass Shack aimed to produce a high-end event. We started by creating a CAD drawing of the event layout and main stage design. The Festival look and feel reflected Montclair’s intimate village setting featuring a “Village Vineyard” wine tasting area. With the Festival blueprint secured, Grass Shack identified, auditioned and booked live entertainment for the main stage events, arranged for booths, organized concessions and orchestrated promotional support including posters, t-shirts and banners. Grass Shack also developed “Kidstown” with face painting, free games and prizes to attract the large number of young families in the area.

Results
The event was a rousing success attracting several thousand participants and was written up in local bay Area papers as a great new fall attraction for the Oakland community for years to come. “Grass Shack was extremely calm and competent despite the Festival’s extreme time constraints. They provided excellent service and gave us expert advice on event planning and management. Promotional Video Creation for The Dow Hotel Company

Challenge

The Dow Hotel Company, a leading hotel investment and management firm, was hired to manage a major hotel property in San Francisco, Calif. Dow was planning renovations and a name change for the site in the coming year, however, it needed to sell the hotel rooms. Without having a fixed idea of the hotel’s new identity, Dow asked Grass Shack to develop a promotional tool to attract prospective guests and event planners and convince them that the hotel was a great place to stay.

Grass Shack Solution

Grass Shack suggested that the promotional tool focus on the neighborhood surrounding the property and on the rich history of the hotel site. We developed a sales and marketing DVD showcasing the hotel’s environs and giving guests highlights of places to visit in San Francisco. Grass Shack’s services included developing a script, casting voice-over talent, developing a logo for the hotel, shooting footage and editing a quality DVD.

Results

Siemens Medical Product Launch Event Production at the Regency Building in San Francisco

Challenge

For the third year in a row Siemens Medical Solutions contracted with Grass Shack for all the production elements of the launch of the new SOMATOM Definition CT Scanner. The meeting was to showcase the abilities of the new CT scanner using a satellite feed for a live discussion with a doctor performing a live scan in New York. The meeting and customer event was to be held at the beautiful Regency Building in San Francisco.

Grass Shack Solution

After selecting the venue Grass Shack Events and Media went into production mode to secure the correct vendors and production staff, staging, audio visual, animations and prop creative and creation, for the meeting and reception. A replica of the SOMATOM Definition was brought in for display at the front of the large set and stage. During the meeting were also presentations by Siemens executives and a testimonial presentation.

Following the meeting a reception was held in the lodge level of the regency building. Siemens workstations were set up so the clients could have food and drinks plus discuss the capabilities of the new product. A band played for background music, a local artist painted pictures of the guests on his computer which were projected onto a large screen. Around the room large golden frames had matted plasmas which played loops of animated detailed images from the SOMATOM Definition. They, like the images the SOMATOM produces were works of art displayed brilliantly for the attendees to admire.

Results

Guests were given feedback cards and among the responses were that over 90% of the participants of the Siemens event and the live transmission found this symposium a good use of their time. 86% of the participants would recommend this Siemens CT symposium to a colleague.
