Some Meeting Planners love a good one night stand.

meeting Planner one night stand 300x298 Some Meeting Planners love a good one night stand.I watched a movie last night called Crazy, Stupid, Love.  It starred Ryan Gosling, who showed Steve Carell how to pick up women at bars.  Steve Carell is told that he is doing it all wrong, how he needed to sleep with many ladies telling them what they want to hear to get what he wants at whatever cost.  They spend half the movie sleeping with different ladies.

It reminded me of the story arch of many other movies like Will Smiths “Hitch” , Mel Gibsons “What Women Want” and the 2005 movie called “Wedding Crashers”  starring Owen Wilson and Vince Vaughn who sneak into weddings and take advantage of the romantic air and mood of the wedding to sleep with different women.

Ryan Gosling,  Steve Carell, Will Smith, Mel Gibson, Owen Wilson and Vince Vaughn all find that one night stands are an easy, empty way to live and in the end building a lasting relationships will bring true happiness.

So what does this have to do with meeting planners you might ask?  I do not think meeting planners are more promiscuous then the average professional. But I do see the correlation of the instant satisfaction of working with their vendors.     Where most meeting planners I have worked with have sought and built great relationships with our company, the last few years I am finding most are looking for that great one night stand which they can just get through that show with a smaller budget that they can bring to their bosses.  The relationships are secondary if the immediate satisfaction is not met.
This ‘two ships in the night’ relationship is not the planners fault,  it is also the entitlement of vendors who do not convince their clients what a great relationship they can offer planners in the long run.   Instead of the one flash in the pants they need to convince and show the beautiful years of the good stuff.    Vendors hem and haw that they never used to have to do this convincing. But as most good companies know ,things have changed; obviously, the economy craziness.    But as any married person knows, you have to keep things fresh and make and effort to keep the magic alive.  So those vendors that build solid relationships keep everyone satisfied.

But more and more RFP’s that come across my desk are looking for a quick one night stand.  I do have to say, I am tempted by these requests as I am only human, but almost always I am left feeling used and unfulfilled.

But I am on the other side of the equation sometimes.   Last Thursday, I was asked to turn around a proposal which had a budget of around 300 thousand dollars.  As we went through it, it really was more of a 500 thousand dollar show,  depending on factors of equipment, venue, labor, rigging charges.  I put it out to two of our favorite vendors, Core Staging – a boutique company who I have worked with for years, particularly with one pharmaceutical client to provide production for a National Sales meetings, and their global sales meeting; very large productions, and very happy client.  I also sent it to a national AV company we have worked with for several years but mostly on a one night stand capacity.  Core Staging told me Friday morning they would get me a quote back, Saturday morning I had a list of questions and concerns and Sunday I had the finished Core Staging quote in my inbox.
The other national company sent me an email Monday afternoon and said, “Hurricane Sandy made their computers go down.”  Yet, Core already hit my email box on Sunday before the storm.  This one vendor who I have a relationship with satisfied me; they know how long term relationships work.  The numbers don’t really even matter to me at this point; we can work it out with the client if they want to start a relationship.  We, like Core Staging, knew this might be a one night stand but Core put that aside to build our relationship and try hard for the long term relationship.

So as in Crazy, Stupid, Love. Like Ryan Gosling I learned once again that a great relationship with a great vendor is a very valuable commodity. Meeting Planners should keep this in mind.  The one night stand is fun, exciting and for a short time very satisfying.

On today’s show we welcome MeetingsPodcast long time host Jon Trask to Grass Shack Events & Media as Senior Account Director

Jon works with Grass Shack Events & Media based in Los Angeles, CA.A member of MPI since 1994, Jon earned his CMP designation in 2003.  Jon has spent the last 20+ years in the audio visual and production business. Prior to joining Grass Shack, Jon worked for other AV companies in both Orange and San Diego Counties as a Technician, Project Manager, General Manager, Senior Account Manager and as a Director of Sales. This total includes significant time with two other national staging companies supporting large-scale corporate events both nationally and internationally. But it also includes over three years supporting trade shows and conventions, and nearly five years providing AV in a hotel/resort environment.

This experience, cutting across so many different types of AV support while dealing in logistics, pre-production and project management, along with spending many years in sales give him a unique view of the disparate elements required to create a successful relationships, and ultimately to successfully support a meeting of any size.

Jon was named “Meeting Professional of the Year” by the Orange County Chapter of MPI in 2004 and currently serves on the Board of the OC Chapter as Director of Publications for 2006/2007.

Jon was invited by MPI to present at PEC in Charlotte in January 2006 on the “Language of AV”. He was the featured speaker at the May 2004 O.C. Chapter meeting presenting on the same topic. And, from 1998 to the present day, he has spoken to numerous college classes at UCSD, OCC and CMP study groups on the subject of basic AV for planners.

Jon’s background includes work in radio, where he spent time working as a reporter, writer and technical assistant for KEZY/KNWZ, a Southern California all news station. He has also worked as a voice-over artist and in a variety of technical roles on various video and film productions. He holds a degree in marketing management, and lives with his wife and German Sheppard’s in Orange California.

Bring A Meeting Production Model To Your House!

In all the years I have been in the Meeting Production business, I have been a part of producing events and meetings all over the world.  This includes lots video production.  Being entrusted with the all the production of sales meetings and product launches of large pharmaceuticals, tech,  government meetings, to a wine and jazz festivals These meetings and events all have the same formula.    Of all of the companies I have worked with: Jack Morton Worldwide, Bill Graham Presents, InVision Communications and now Grass Shack Events & Media use the same event production model.

1) Find a network of trusted vendors ( Audio Visual, Scenic, Graphic and Motion Animators,creative directors, directors of photograph, leadership speakers, entertainment etc…)

2) Rent equipment and resources. Keeps overhead down, best and latest equipment used onsite.

3) Save Meeting Planners and Marketing Communications time, money and cohesive events.

So it is nice to see the regular world outside the ballroom can have this same model with Zilok now.  Zilok.com is a website where you can find other peoples unused stuff and rent it.  Lets say you are putting up a fence and need a drill for 3 days .  Instead of heading to Home Depot for your production tools which will be used that once and then stored in your own garage for years on end, you can rent your neighbors drill.

So join Zilok, get an account. Zilok will process the fees involved, tracks reputation of your renting partner and in some countries insurance can also be bought in case of damage.

Shared Earth lets Gardners use other folks land to grow food.

Zimride lets people share rides with facebook friends and friends of friends on facebook.
