Mike McAllen: Welcome back to Meetings Podcast. Mike McAllen with Grass Shack Events and Media and I’m on the phone with Jon Trask from Alliant Events Services. Hi Jon.
Jon Trask: Good morning. Hello.
Mike McAllen: As always, I wanted to thank Hilton e-Events and also Blue Sky Factory, our e-mail provider of choice. I think we might be working with them soon. Jon, you and I talked about that a little bit about doing kind of an e-mail list with this podcast because for sure …
Jon Trask: Yes.
Mike McAllen: … we have so many listeners.
Jon Trask: Yes.
Mike McAllen: I think it will be great. Tom Hillmer, our cohort is off at his mountain retreat. As …
Jon Trask: As you can see the empty chair over there that Tom’s not in today.
Mike McAllen: And so we got some stuff to talk about. So what should we start out with? We have a few things.
Jon Trask: Well I had a quick little update just because on the last show, we talked about the Museum of Tolerance and the whole idea …
Mike McAllen: Oh yes.
Jon Trask: … about museums and such. And there was a little update on the paper the past week that the planning commission overrode the senior planner who would come out with this report and actually it’s going to allow the museum to hold more events. So they seem to get it as an overall group. Instead of two events per month as he suggested, they gave him the right to hold 18 third party events per month and because the museum officials as we sort of discussed, they said the revenue allows them to expand admission of educating people and so you know, the planning commission understood. Now they did put a few curves on them. They don’t let them go till midnight. They’re going to make them stop at 10 PM and some things like that but I just thought since we talked about it last week, it would be good to give an update and just let folks know kind of what the resolution was
Mike McAllen: Yes, it’s interesting that that seems to be kind of the – well in our kind of silo bubble here of being so deep into the events meetings business travel industry, that people are being educated a little bit more now. People are taking the time to really educate.
Jon Trask: Yes. In a twisted sort of way, you know, having said that, this could on the other end of it actually have a positive effect on the industry because people are becoming more aware of what people do to plan meetings and what’s entailed and what’s involved and getting this message back out to people and talking to them about what we do and how we do it. In the long term may actually bring us a little more recognition and a little more understanding of what’s entailed.
Mike McAllen: Yes and I guess it kind of rolls into our – what we talked about doing – putting a face on the meetings industry as doing them, you know, coming up with a page or a video thing …
Jon Trask: Right.
Mike McAllen: … until we started that YouTube channel and then I found that Meetings Mean Business website, MeetingsMeanBusiness.com has now started a Faces of Travel and they’re doing exactly that which is to our – I guess, we kind of had a sigh of relief because it was – it could be a big undertaking for us to do that. So we’re off like, “Oh good, okay”. So we want to point everybody to go to the MeetingsMeanBusiness.com site and it’s called Faces of Travel and then go to Take Action tab and what they’re doing is exactly that. They’re putting – they’re having a contest actually to – you can put a video on there and become the spokesman. I’m not sure what that entails, the spokesman part of it but they are looking for everybody, you know, housekeepers, anybody who’s involved, the taxi drivers, anybody that you know. And I thought that’s kind of a neat idea for us and our listeners to go out and actually take their little, you know, video cameras on their phones and take little videos so people can start uploading them.
Jon Trask: Sure.
Mike McAllen: And our people, you know.
Jon Trask: Sure.
Mike McAllen: Why not?
Jon Trask: Well and I mean, they give you some sample questions to answer. They give you, you know, a way to sort of format it. They’re looking for 45 to 60 seconds and even a sample video you can watch so you can kind of get an idea of what they’re looking for.
Mike McAllen: Yes, I think it’s great. I think it’s a really great idea.
Jon Trask: Yes.
Mike McAllen: And also because we also thought of it. So it’s kind of cool. So …
Jon Trask: Well, it’s nice that we can be on the cutting edge and yet not have to do all the work because that’s going to entail.
Mike McAllen: Right, right. And this is great. I’m really excited about this. So I’m going to pull it on there and I know you will too, Jon. So …
Jon Trask: I’ll try to.
Mike McAllen: So we encourage everybody to do that and maybe there’ll be a running theme …
Jon Trask: Definitely.
Mike McAllen: … for us to keep plenty of people back there. So that’s great. So that was kind of a cool thing and that’s a nice (side really) if as I said so. What else are we going to talk about?
Jon Trask: Well you know, actually on the subject of video, I found – I was in MPI this past week, an all day event in Los Angeles actually in Pasadena of the new conference center thee. And I spent some time during the reception talking with Marin Bright who’s from Smart Meetings magazine and we were just having a one of those wide ranging talks about the industry and such but I was going back through their current issue of their magazine and there’s a couple of really fascinating things I found and one of them, it jumped out at me with a website. They do quite to link the article on that which I won’t try and recap the whole thing but it’s a website called Vipe, V-I-P-E.
The actual URL is VipePower.com and it’s two – kind of two initiatives on this website right now. One of them is for people who are looking for a job and it’s basically a way to post videos that are specific to a job search that you’re doing. So you can sort of do like your own little video interview or something and basically put that up for an employer to look at and/or send it directly to them because it gives you a distinct URL so you can send that link to a person and ask them to look at it. But the real side of it for our industry, even bigger than that is they’re doing an initiative for the hospitality side of things and the way they presented is you know, you can take a Flip camera which we’ve talked about before. I mean, they cost what, 120 bucks something like that.
Mike McAllen: Yes.
Jon Trask: And you can take that and let’s say, you’ve got a client who is on the other coast and you want to show them what a room looks like, U-shaped for 45 or you want to show it too in classroom, you can go set that room up, you can shoot a video from all angles, you can walk around, you can narrate it, you can put information in specific to that client. Here’s the linens we’ve used, here’s the centerpieces we suggest. I mean, any of that kind of thing that you want to do and post this video back through this Vipe site and then send a link to the client, the planner so they look at that room.
Mike McAllen: It’s such a great idea.
Jon Trask: Absolutely. I mean, actually the way they started the article office, it’s one of those (widened) and I think about ideas that come along because it’s so straightforward, it uses inexpensive technology and it really gives you a leg up when you’re, you know, we know how expensive site surveys can be and time consuming and all of those things. So imagine if you can sort of pre-screen a number of properties simply by asking them to post videos and then turn around and maybe you know, filter your choices down. So you have to go to one or two places or something like.
Mike McAllen: So – I’m sorry. It’s a great idea and I’m just thinking how are they – are they actually the venue setting up the areas themselves in doing this?
Jon Trask: Yes, they …
Mike McAllen: They’re setting up the different setups like classroom or the U-shaped or whatever they would do it and then they would post them?
Jon Trask: Basically it’s for the venue to post the information themselves.
Mike McAllen: Yes.
Jon Trask: So what they can do, they can also do generic things. I mean, you don’t have to do this as a one off for each client either. You can do a produced video, you can do a website tour of your property and post that so that you can then send it along to a client, give them maybe the generic tour and then go into specifics and something like that.
Mike McAllen: It’s such a great idea, such a great idea.
Jon Trask: So yes, it’s a – it kind of gives you something that’s a little easier and quicker to do than you know, going out and spending lots and lots of money producing a video that’s really more – it’s going to have to be more generic when you can go in with a Flip camera and do this yourself. I mean …
Mike McAllen: Yes.
Jon Trask: … you know, the YouTube type thing.
Mike McAllen: And so – and I’m trying to think, Flip was just bought too by I think, it was Cisco or somebody? Some big company just bought them that – which is interesting too. It’s kind of get – I think it’s going to get even more widely used those Flip videos. They’re so simple to use.
Jon Trask: Well and that’s – they have a suggested video device page and aside from that, they also mentioned using your webcam which most computers have now or even using your video cell phone. So you can actually you know, if you’ve got a video capable cell phone, walk through and do a quick video on that and those videos will work with this Vipe system.
Mike McAllen: That’s so great. I also wanted to say that my wife works for the San Jose Doubletree Hotel and she does – I don’t know if I’ve mentioned this before but I’ve worked with them to do like a little on my blog and now they’re doing a little video show once a week, her and the general manager and they’re using a Flip video for that and it’s pretty – it’s just amazing how much they won a marketing award of all of the Doubletrees globally. Just recently (forward) just doing a blog and doing this kind of – actually kind of the stuff we’re going to be talking about at the …
Jon Trask: WEC?
Mike McAllen: Yes, the WEC. Isn’t it WEC?
Jon Trask: Yes. WEC, World Education Conference.
Mike McAllen: Yes, yes. So it’s interesting how that – I think those that – it’s such a great idea because people want to watch a video, you know. It’s all changing.
Jon Trask: Well, like they point out on the site that components of communication, I mean, according to some studies that have been done, 55% of it comes through in body language, you know. Thirty eight percent of it is tone voice and only 7% of it is the actual words you’re saying.
Mike McAllen: Yes, interesting huh?
Jon Trask: Which is interesting for the folks who are doing a podcast actually.
Mike McAllen: Yes, yes.
Jon Trask: When you think about it. It’s …
Mike McAllen: Yes. It is interesting and that’s why we started doing the …
Jon Trask: The videos.
Mike McAllen: … the videos and also we’re doing the – we’re doing transcripts too which is another thing which you know, because everybody learns differently too. So …
Jon Trask: Right, right.
Mike McAllen: You know, also another thing I wanted to point out too, I don’t know if I talked about it before on the podcast but there is a Facebook group for production freelancers and producers, coordinators, PA’s kind of there too.
Jon Trask: Yes.
Mike McAllen: Which is very interesting on there kind of …
Jon Trask: There’s a LinkedIn group too.
Mike McAllen: Is there one too?
Jon Trask: Yes.
Mike McAllen: I just saw the one I’m – the Facebook, I’m having lots of e-mails from people on there and I just see all these faces on there that I know. It’s interesting to see all these people that were hard to get -you know, to hard to get them to work on your show because they’re always so booked.
Jon Trask: Right.
Mike McAllen: And they’re on there. It’s pretty – it’s a testament to again to the economy of what’s going on but anyway, so moving on …
Jon Trask: Okay.
Mike McAllen: … what we have here?
Jon Trask: Oh I’m just amazed. I happen to be on our website while we’re doing this and someone from Qatar just signed on which I’m just always fascinated seeing where the people who come to our website are from. And it’s like, “I don’t remember seeing somebody from Doha, Qatar before.
Mike McAllen: Yes, yes.
Jon Trask: And I’m just – that’s just pretty cool.
Mike McAllen: It is amazing, it is amazing. That’s indeed a little widget on there.
Jon Trask: I love that. That’s just – that’s my favorite thing on our website.
Mike McAllen: Yes, I always (just log on) to see who are they coming from.
Jon Trask: Well the other thing apart meetings and this is just a little side note but they had something on a cool little backpack with a solar panel on it from UncommonGoods.com and so the entire back of the little day pack is a solar panel so you can charge your iPod or your cell phone or your cameras and stuff like that. I just love that kind of stuff.
Mike McAllen: Yes.
Jon Trask: And you know, there’s a green technology for the week.
Mike McAllen: Right, right.
Jon Trask: So well, the really the only other thing I had this week that had jumped out at me, I also met the folks from BizBash while I was at the MPI event and their latest issue of their magazine again, because of the economy and things people are going through had some budged-minded corporate picnic tips. And I got to thinking you know, even in this economy you know, everything were talking about you know, it sometimes is a good idea to rally the troupes and maybe go out and have a picnic and just get everybody kind of relaxed and happy …
Mike McAllen: Right.
Jon Trask: … for a day …
Mike McAllen: Right.
Jon Trask: … and bring the family and so they talked about a couple of different ways of doing things on a budget like, one of their suggestions was a barn-related or farm-related and so they talked about getting a (gross) scenic backdrop of a barn and you can get farm animal statues from a prop house right here in Orange, California, the Southern California where I’m at. They talked about setting up horseshoe games for people having bluegrass type of music. They talked about the fact that the Winter Olympics are coming so you can kind of focus something around the Vancouver 2010 games especially you know, offsetting the fact that it’s summer and it’s hot. So going with something cool, you can get snow making machines are available actually not that expensive. They start at like $415 a day from the place I mentioned in there and then it talks about you can actually rent a melt proof synthetic ice rink. So I thought that was pretty cool. That would be an interesting summer picnic.
Mike McAllen: That was a …
Jon Trask: And the other one …
Mike McAllen: … very Southern California.
Jon Trask: … and then you can let your imagination go wild in some of these stuff but the third one they suggested was an A-Team themed. Remember the show, The A-Team with Mr. T?
Mike McAllen: Right, with Mr. T. Yes.
Jon Trask: So they talked about doing 80s-themed stuff like you know, a retro gift would be like a vintage south t-shirt which they’re making a lot of and you know, 80s music and having an obstacle course and you know, stuff related to physical adventure activity.
Mike McAllen: That’s fun. That’s a great idea.
Jon Trask: So that was out of BizBash LA magazine. That’s the March-April edition.
Mike McAllen: Very cool and it’s always – this is the time to really, I mean I keep saying this all the time, this the end of (aged view) you know, this is the time where you can really experiment with stuff, you know …
Jon Trask: Right.
Mike McAllen: … with your companies or your clients just to see you know, doing different things. All these things that you hear you know the virtual trades go kind of a thing. All those kind of things are – I actually had seen a post that a friend of mine, his name is Julius Solaris, he put up on his blog and he – it was all about things like that, you know, to try new things down the new trends. You know, the flash mobster kind of funny things where you can have everybody meet at one place at the same time or meet ups you know …
Jon Trask: Right.
Mike McAllen: … or maybe talk doing meet ups with your – just having informal meet ups at a local hotel or even a park like you said, you know. You can just have people meet up and get together and that Pecha Kucha, the …
Jon Trask: Yes, yes.
Mike McAllen: … what is 20 slides in 20 minutes? Is that what it is? I think that’s what it is. That’s another one that might be which I think would be fantastic to do with some of your speakers. You know, get them in a room and have them do their speeches, you know, in that mode. The Pecha Kucha have a price to see who could win you know, to get them in that mode of doing you know, concise presentations and so you keep your audience engaged and then doing that kind of maybe one of those conferences he has in here which is always great too, you know.
Jon Trask: Yes.
Mike McAllen: They just set up and have people …
Jon Trask: Well just …
Mike McAllen: … go ahead, I’m sorry.
Jon Trask: I was going to say, it’s definitely time to innovate and try some of these things you know.
Mike McAllen: Yes.
Jon Trask: You got lower budgets so that’s the fact of life right now but lower budgets don’t mean you can’t be creative.
Mike McAllen: Right. Another one they have here is have a concert. Do a little concert, you know. Have a little concert instead of you know, for a fun – like you’re saying, like a picnic. Have a little concert. Bring a band in and have a picnic around it or he has a live twittering, I’m not sure about Twitter how – or I guess part of your event, you can have people doing the – a lot of people are doing that nowadays, anyway.
Jon Trask: Well you know what, I’ve seen some team building where they do things. It was like percussion and such where they actually have the participants performing music.
Mike McAllen: Oh really? Really, really?
Jon Trask: Yes. I saw one of those a couple of years ago where they basically you know, everybody got divided into little groups and they ended up making some kind of rhythmic drum patterns and things. It was kind of fun.
Mike McAllen: Oh, that is cool. Well that’s like the – what’s his name? Andy Sharpe who I had – I interviewed with his kind of blanking on the name of this company but we have – if you search on the Meetings Podcast site, you know they do the team songs where everybody comes in and then he writes the song with the people and they …
Jon Trask: Right.
Mike McAllen: … do it together and they come out. It’s kind of a cool idea. Julius also has two more or three more. He is Burning Man which I think is funny. it’s just the concept of maybe doing something that’s completely out of the box like building crazy things or – which I’m not sure how to do that for a corporate thing but kind of an interesting idea. He has virtual speed dating and networking which I think is interesting too maybe in a – where network …
Jon Trask: We’ve actually done speed networking at my chapter.
Mike McAllen: Have you?
Jon Trask: Yes.
Mike McAllen: How does that work? Because I was beginning to …
Jon Trask: I actually wasn’t in that meeting. I wasn’t able to attend it but I remember they were going to do it and there was a lot of buzz about it because it was one of those things where you just – they set up – it was like instead of trade show floor, they just set up appointments with people and people would you know, have 3 minutes and just move from table to table to table.
Mike McAllen: Wow. Yes, they did it at the MPI and that would be different. I didn’t go, I had an interview I was doing at the same time but …
Jon Trask: Right.
Mike McAllen: … I just wondered. It would be interesting to talk to somebody who had been through that too, huh?
Jon Trask: Well you know, I’ve ran into a couple of other team building things. I did one quote for somebody and I don’t remember – I don’t think most of the [inaudible] [00:18:35] happening but it was a very clever idea and it was a corporate where they were breaking them up into a variety of teams. And one of the team buildings was building bicycles and …
Mike McAllen: Oh yes.
Jon Trask: … at the end of it, those bicycles went to charity and brought to kids.
Mike McAllen: Yes. I remember Tom was talking about it around here too …
Jon Trask: Yes.
Mike McAllen: … that he did that.
Jon Trask: But they also – they had a couple of others. One of them was cake decorating and but one of them was like live 80s karaoke and it was a team building thing.
Mike McAllen: Scary. That’s a pretty scary though.
Jon Trask: Yes. But you know, I remember that stuck in my mind because the quote included a whole rack of old para lights and stuff. We were trying to make it look very retro on the stage and so that just – that’s where I came from and they were trying to get those sort of 80s look and have all these different groups of you know, people singing with each other.
Mike McAllen: That’s great. So the last one on his blog – actually his blog is Event Manager Blog by Julius Solaris, a great guy and also chatted with him on Twitter a few times. His last one is social networking nights for professionals which putting together like if you have a group like ours or one of ours on you know, the LinkedIn, the Meetings Podcast, or have actual meetings to get everybody together. You know, actually have time where everybody comes to one place which is kind of interesting, having a different obviously locales for different people, but kind of a cool idea maybe to do that for your profession. So …
Jon Trask: Right.
Mike McAllen: … you can get your people meeting other people in the profession talking around, getting more face to face going on. So those are his 10 which I thought were kind of interesting.
Jon Trask: Very cool stuff. Yes, I’ve been to his site often and he’s on LinkedIn as well. I’ve talked to him through LinkedIn a few times.
Mike McAllen: Yes, I think he has a big – that he has a – whatever his group is thereon, I probably should know that right now to say it but he has a group on – that he runs on LinkedIn.
Jon Trask: Right.
Mike McAllen: But I think it’s Event Managers.
Jon Trask: Well there’s one called Event Peeps. Is that his? I’m just (inaudible 00:20:40) straight right now.
Mike McAllen: No, I think this is – I can erase through here and look forward.
Jon Trask: Or we can back with it next week and remind me of it.
Mike McAllen: Yes, we come back with it next week. You can look at his blog for now.
Jon Trask: Yes.
Mike McAllen: And so I think the last – is this the last? Do you have anything else you wanted to talk about?
Jon Trask: No, that was it for me this week.
Mike McAllen: Okay. I wanted to – I had the privilege of like it was the privilege to go to the funeral for police officers in Oakland.
Jon Trask: Right.
Mike McAllen: The city I live in is Oakland, California and they got – they were shot by and killed in the line of duty 2 weeks ago and I went to their funeral which was held at the – well first, they had a candlelight thing for them where they had been shot and then this – yesterday, they had – was it yesterday or before yesterday? They had the funeral for them. And it was pretty amazing being in the event business to see something – I mean the whole thing was a horrible situation but to have the Oakland Coliseum which holds about 20,000 people was full to the brim with you know, people from of course Police and Fire from all over the world.
Jon Trask: Right.
Mike McAllen: I mean, all over – yes, actually all over the world and then residents and then they had overflow into the stadium which is next door where the (Ace) play and there’s another 10,000 people in there watching on the screens. So it was just a testament to you know, what heroes these guys were and yes, I was just amazed that the emotion of course at a funeral is always horrible but you know, laughter to talking about the different guys and you know, Arnold Schwarzenegger is there and all these people that are speaking for you know, went and spoke. But how at one point when they were handing out the you know, they give them all the American flags from the families that there wasn’t a sound in the whole place, not a sound in the whole – you know 20,000 people are there. It was just the most powerful thing to have seen all these and they put together this event in you know, a week basically, you know.
Jon Trask: Right. Well that’s just the part of it. I mean, coming from our business knowing the logistics involved in putting an event of that scope together on the fly. You got to really tip your cap to the people behind that and I don’t know who the people are who actually organized that. But …
Mike McAllen: Oh I don’t – you know, and I was actually going to go talk to somebody from there in a little while and see who had put that on but I know they have there in the event, I saw in the news, there is a guy with the Oakland Police who was in charge of all events, who was in charge of the whole thing. But and again, seen all the cop cars coming in to the place, coming in to the venue was just amazing and all. I mean they’ve shut down traffic everywhere and …
Jon Trask: Right.
Mike McAllen: … actually all the Oakland Police were in the center of the coliseum. All 800 and how many they were and other agencies covered Oakland. So there were cop cars from you know, all the other agencies covering the Oakland streets. So everybody …
Jon Trask: Government?
Mike McAllen: … yes, which was pretty powerful thing to see. So anyway, it’s just an interesting thing.
Jon Trask: Well I mean, we look at it with a certain filter because of what we do and …
Mike McAllen: Yes.
Jon Trask: … so you know, we …
Mike McAllen: I – that was amazing and of course it is the most you know, that do you have a good crowd but a crowd of you know people coming to a funeral. So it was – there were a lot of those things that usually you don’t have but it was interesting seeing the Police up in the – where they’re lighting those lighting places up on the top or cameras. They’ve run out of them but they have hanging from the ceiling in the coliseum that there were …
Jon Trask: Right.
Mike McAllen: … Police in there looking with binoculars. They’re the crowds too.
Jon Trask: Spotlight positions.
Mike McAllen: Yes, but they were actually had binoculars looking through the crowds making sure there was nothing going on because you know …
Jon Trask: Sure. Well you know, thankfully nobody used that as an opportunity to protest or do anything stupid.
Mike McAllen: No, no. So I did feel safe leaving my car locked though in the parking lot.
Jon Trask: Yes, I can imagine that would – well yes, I read – it was – I think it was in yesterday’s paper. It was actually entitled, “The Stupidest Criminal Ever” and I don’t have all the reference of it but there was apparently a fellow robbed someone in Connecticut in the men’s room of a conference center. And it turned out they were holding a conference, he was the Chief of Police, they were holding a conference for Police. There were 800 police officers in the building.
Mike McAllen: That’s just great.
Jon Trask: This guy didn’t really make it too far after taking the guy’s wallet and watch and valuable because he didn’t actually take his gun which was strapped to his ankle and the officer and many of his fellow officers chased him down as the story reported.
Mike McAllen: Geez. Crazy, huh?
Jon Trask: So yes, it’s like – that is pretty dumb. You just don’t try and rob a police convention if you’re going to try and carry an unarmed robbery.
Mike McAllen: No, not at all.
Jon Trask: There’s your tip for the week.
Mike McAllen: All right. Well …
Jon Trask: All right.
Mike McAllen: Yes, thanks Jon and again, another show in the can and I wanted to encourage everyone to e-mail their questions and comments to MeetingsPodcast@gmail.com and also again to have people make sure they go over to MeetingsMeanBusiness.com, Faces of Travel which is their – the action item tab and to get in there and put in your video, put a face on them, put a face on our industry.
Jon Trask: And come visit our site too, MeetingsPodcast.com. Drop by and say hello.
Mike McAllen: Sure.
Jon Trask: Leave a comment; leave a question, any of those things. We’re always looking for feedback so we can make this more useful to you.

Jon Trask: And we’re both on Twitter now. If anybody wants to follow us and we’re both on LinkedIn and we’re both on Facebook. So …
Mike McAllen: What’s you’re Twitter again? What’s your …
Jon Trask: I believe it’s jonctrask.
Mike McAllen: So J-O-N?
Jon Trask: Yes, J-O-N.
Mike McAllen: … ctrask and mine is mmcallen, M-M-C-A-L-L-E-N and that’s it. So thanks again, Jon. Http://www.twitter.com/mmcallen
Jon Trask: Have a good week.
Mike McAllen: We’ll see everyone next week.
Jon Trask: Okay, goodbye.
Mike McAllen: Bye-bye.
