Mike McAllen and Jon Trask discuss what makes an event planner or meeting planner?   What does a CMP designation get you? What makes a hosted buyer? What is a meeting planner?   Is it just who rents the most hotel rooms make you a planner?  CIC  Convention Industry Council  website: How many associations?  32?.  An industry expert told Jon recently: “Most of the planners I know don’t know anything about Event Design.  They just know logistics.  Makes it really difficult to have engaging meetings.”

Mike passed a sign at Bizbash which said:

“Planners are defined as independent, corporate planners, or association/organization planners (full-time or part-time). This does not include suppliers or vendors that are also events planners. BizBash reserves the right to determine if an attendee falls into the category or planner or non-exhibiting supplier. #bizbash.”

Stefania – Thank you for writing this.

I think our entire industry needs a re-do! The buyer/seller piece is muddied and has been for years. What we call each other matters and yet defines us to the point of ignorance. An(other) example are the educators – full time and part time – who often may have a hand in ‘buying’ but not as directly. Should they not be hosted to learn what’s new in the industry to pass along to the next gen of those who are now working and will continue to work in our industry?

And for hosted buyer events (I’m on record in opposition to them for numerous reasons), too many people qualify who are questionable. I can’t imagine that the qualification is really that rigorous. I won’t name names publicly; simply, I know there are people who take advantage of the ability to attend “for free” under this system.)

Is there a conversation at the upper levels of the industry to change all of this?

A great example this is when Grass Shack Events & Media produced an amazing event from a simple idea, was the Jazz & Wine Festival. The Montclair Village Association partnered with Grass Shack to take care of everything from coordinating and booking entertainment, to full production of the event. To appeal to the upscale demographic of the Montclair area (the surrounding median household income is $177,000), Grass Shack aimed to produce a high-end event. With only 3 months til the event, our Grass Shack team hit the ground running. We started by creating a CAD drawing of the event layout and main stage design. The Festival look and feel reflected Montclair’s intimate village setting featuring a “Village Vineyard” wine tasting area. With the Festival blueprint secured, Grass Shack identified, auditioned and booked live entertainment for the main stage events, arranged for booths, organized concessions and orchestrated promotional support including posters, t-shirts and banners. Grass Shack also developed “Kidstown” with face painting, free games and prizes to attract the large number of young families in the area.

The result of the event was overwhelmingly successful with several thousand participates and great news coverage. “Grass Shack was extremely calm and competent despite the Festival’s extreme time constraints. They provided excellent service and gave us expert advice on event planning and management. Their creative solutions made this event the talk of the town,” Helen Wyman, Executive Director, 2004 Montclair Village Jazz and Wine Festival.

Meeting Engagement Ideas

I really love this winery video. It sparked some meeting engagement ideas. Two things grab me. One the video itself tells a nice stand alone story. The second is the way they are using art to get the message across. Could meeting managers get some meeting engagement doing something like this at their next meeting? Instead of utilizing a graphic recorder type element could a event manager have a graffitti artist give his/her impression of each presentation? Maybe an online or physical book of the meeting could be made with these images and a short description of the content from a company like The Conference Publishers who specialize in content briefs.

For several years Grass Shack Events Media worked with HP to add a Graphic Recorder to graphically show what each presenter was talking about. When the meeting as over they recieved a copy of the images. How about they walk away with a pice of art instead? Do you think this would that trigger what the session content was?
